The Task Dashboard section contains information and iSite Modules related to iSite Tasks. 


*Availability

Individual Dashboard items will each have its own permissions and has the ability to have custom permissions set for each Dashboard Panel, however,  Only Users with the Permission "View Tasks" will have access to the Tasks section of iSite to view Dashboards. Questions regarding security should be directed to your iSite Administrator.

*+Status 

Task status displays the task health based on a License Settings. Hovering over status sub-elements will display text and provide clickable links to view warning or critical items.


  • Overall Status: The top of the Status Panel will display the overall heath of the Task Elements listed below it.  It will either display a Green Checkmark, a Yellow exclamation symbol, or a Red x symbol.  The symbol displayed at the top of this Panel will display the most severe status of any of the sub-elements listed below. 
  • Funding: Funding will status will change based on the amount of funding left of each task order (Funding-Actuals) and is configured by a iSite License Administrator. The following must be properly Configured in order for this to be displayed. 
    • Funding Module must be enabled. 
    • Funding Reporting must be turned on at: Home > Admin > Settings > Financials Module > (Funding Display Tab)
    • Funding Thresholds must be set: Home > Admin > Settings > Financials Module > (Funding Display Tab)
  • Workflows: Workflow status will change based on the amount of time that a workflow has been idle for. The status indicator will show green for workflows that fall under the warning threshold. A Yellow indicator will be displayed for workflows steps that are idle beyond the Warning time but before the specified Critical time. A Red indicator will show if a workflow is idle beyond the specified Critical/Overdue time. The following must be properly Configured in order for this to be displayed.
    • The Workflow Module must be enabled
    • The Workflow setting "Display Time-To-Complete Status in Task Order Request Lists?" must be set to Yes.
    • A Workflow definition must have Warning and Critical times defined and that workflow must be in process for the given iSite Task.
  • Risks: Risks status will change from green to red if a active risk is has not been updated by the required Response Frequency date. The response frequency is set by those who create the risk and can vary for each risk. 
  • Period of Performance: The following Statues will be displayed based on the matrix below.

*Roles 

The roles panel will display the people that are assigned for both task role types. A tabbed interface at the top will switch the view between Task Roles and Contract roles. For each type of role a active or inactive icon,user name, user email and user phone numbers will be displayed. 

  • Task Roles: Displays iSite Task Roles for the associated task. Assignments here are often unique for individual iSite Tasks. 
  • Contract Roles: Displays iSite Contract roles for the associated task. Assignments here are the same for all iSite Tasks. 


*In Process

The in process panel will display summary information about changes that are not yet fully approved within iSite. The type of changes that will show in this panel will be summary information that is contained within iSite modules such as estimating, funding, workflows, etc. Each Item will have a drop down arrow that will expose more details of each item. 

(Note: All items that appear In Process are not contained within iSite Workflows)


  • Estimates: Displays all estimates that are not in a status of Published. Details include Status, Layout, Starting and Ending Financial Month and Effective Financial Month. A user must also have EstimatingView, EstimatingAdministrator, TasksAdministrator Permissions for this item to appear in the In Process Dashboard Panel for them. 

     (Note: Estimates of Type Mockup/Unpublishable, will not show in the In Process Panel.)         

  • Funding: Displays all funding packages that are not in a status of Published. Details include, Status, Request Type, Amount Requested (if applicable/enabled), Original Funding Level, New Funding Level, and Amount Funded. A user must also have FundingView, FundingAdministrator, TasksAdministrator Permissions for this item to appear in the In Process Dashboard Panel for them. 
  • Task Order Request (Workflow):  Displays all Workflows that are not in a status of Complete. Details include Current Step, Title (Step Title), Description(Step Description), Stage, Step Started (date), and Responsible Party. A user must also have TaskOrderRequestsView, TaskOrderRequestsAdministrator, TasksAdministrator Permissions for this item to appear in the In Process Dashboard Panel for them. 
  • Risks: Displays all Risks that are not in a status of Published. Details include, status, Risk Title, Risk Number, Impact, Likelihood, Score, and Last Updated. A user must also have RisksViewTask, RisksAdministrator, TasksAdministrator Permissions for this item to appear in the In Process Dashboard Panel for them. 
  • Performance Evaluations: Displays Performance evaluations and User that the survey is assigned to that are in Process. A user must also have PerfEvalView, PerfEvalAdministrator, TasksAdministrator Permissions for this item to appear in the In Process Dashboard Panel for them. (Note: In Order for a Evaluation to be in process, questions, have to be Assigned, A survey must be launched, and a user must have answer atleast 1 question) Details include Question Count and Completed Question Count. 
  • Variance Analysis: Displays all estimates that are not in a status of Published. Details include Status, Submitted (date and user),Last Updated (date and user). A user must also have VarianceAnalysisViewTask, VarianceAnalysisAdministrator, TasksAdministrator Permissions for this item to appear in the In Process Dashboard Panel for them.

        

*+Financial Analysis

Displays an overview of Financial, Effective and Import/publish dates of Financial Data. Each Section has a drop down to expose details of each section. 

  • Funding: Displays Approved funding dollars with the following details:
    • If Latest Funding was Imported:
      • Last Import Date 
      • Latest Financial Month
    • If Latest Funding was published via iSite Package:
      • Last Publish Package (Package Title)
      • Last Published Amount 
      • Last Published Date
      • Latest Financial Month
  • Actuals: Displays all Actuals Dollars with the following details:
    • For Latest Imported Actuals:
      • Last Import Date 
      • Latest Transaction Date 
      • Latest Financial Month 
      • Last Closed Financial Month
  • Plans: Displays Latest Plan Dollars with the following details:
    • If Latest Plan was Imported:

*+Actuals vs Planned Chart

Displays a double line graph that displays Actual and Planned costs in dollars. Clicking the filter button on the panel header will display a monthly or cumulative view of each cost over the life of the task. Clicking on the Actuals or Plans Key will turn what displays on and off and resize the chart automatically. Hovering your mouse over the chart will expose a popup box that displays The financial month and associated dollars with what keys are being displayed. 


*+Actuals vs Planned Cost Variance Chart 

Displays two bar charts for a quick analysis of Actuals vs Planned dollars. 

  • The first chart will correspond to Actuals and Planned dollars that are associated with the current financial Month
  • The second chart will show Contract to date Actuals and Planned dollars. 


*+Pending Transactions

Pending Transactions will show Contractor Transactions that have been uploaded into iSite. Available tables for Contractors to utilize are as follows. 

  • Commitments
  • Unposted Labor Dollars
  • Unposted Labor Hours 
  • Purchase Requests In Process
  • Travel In Process. 



*+Funding Analysis details

The Funding analysis details panel will show details about Plans, Forecast, Actual and Funding. The top of the panel displays a Donut Pie Chart that displays Funding and Actual Costs. Clicking on the Funding and available funding will hide the corresponding keys. Beneath the chart shows the following details about the Task:

  • Approved Funding 
  • Pending Funding 
  • Total Funding 
  • Total Plan 
  • Actual Cost 
  • Available Funding
  • Historical Burn Rate
  • Forecasted Burn Rate
  • Funding Status




*Risk Heat Map

The Risk Panel will display a mini heatmap with each risk represented as a number in each square of the heatmap for that Task. Risks can be displayed or sorted by clicking on Individual squares, X axis, or Y axis. The Heatmap will only display active risks associated with the Task being viewed. The following must be properly Configured in order for this to be displayed. 

    • The risk module must be turned on for License 
    • Administrator must configure heatmap grid and axis labels in Risk Management Module Settings.
    • A Risk Must be Fully Approved (Active Status).





*Note:Visibility to each Dashboard Panel can be configured. 


+Note: Several dashboards rely on point in time views or reporting. Panels that use point in time will source the iSite Financial Month by looking up today's date against the iSite Financial Month Calendar.
