The Workflow Definitions function on the Object Definitions tab of the Admin Page is available for Portal Administrators to manage Workflow Definitions that are used to control Workflows within iSite.  Administrators can add new Workflow Definitions, edit existing Workflow Definitions, view Workflow Roadmaps and more.

Users with any of the following Permissions may manage Workflow Definitions:

The Workflow Definitions List

The Workflow Definitions list displays the Workflows that are configured and assigned to the iSite License.  The list will display the following information:


  • Workflow Definition Name
  • Workflow Type
  • Enabled?
  • Last Updated


How to Use the Workflow Definitions List

  1. Click on the Workflow Definition Name in the list whose information you would like to edit.


How to Add a New Workflow Definition

  1. Click the Add New Workflow Definition button in the toolbar.
  2. On the Properties tab, fill in the appropriate information that define the properties of the Workflow Definition.
  3. On the Workflow Initiators tab, select the Users or Security Groups that are authorized to initiate new Workflows created from this Workflow Definition.
  4. On the Workflow Editor tab, paste the valid Workflow Definition XML for this workflow, if available.
  5. Click the Create Workflow Definition button to create the new record or click the Cancel button to abort the creation process.


Deleting Workflow Definitions

Deleting a Workflow Definition is a permanent change and cannot be reversed.  Proceed with caution.  In most cases, it may just suffice to mark the Workflow Definition as disabled rather than deleting it.  This is especially true if there are Workflows that have been created from the Workflow Definition.


If disabling a Workflow Definition will not suffice, the following are two methods for deleting Workflow Definitions in iSite.


How to Delete a Workflow Definition

  1. In the Workflow Definitions List, select the record to be deleted by clicking the Workflow Definition Name.
  2. In the Workflow Definition Maintenance page, click the Delete this Workflow Definition... button in the toolbar.
  3. In the confirmation message pop-up, click the OK button to permanently delete the selected record or click the Cancel button to abort the deletion process.


The selected Workflow Definition will be permanently deleted from iSite.


How to Delete Multiple Workflow Definitions

  1. In the Workflow Definitions List, click the check box next to each record that you want to delete.
  2. Click the Delete Workflow Definitions... button in the toolbar.
  3. In the confirmation message pop-up, click the OK button to permanently delete the selected records or click the Cancel button to abort the deletion process.


The selected Workflow Definitions will be permanently deleted from iSite.
