The Notifications function on the Timekeeping Modules Settings page of the Admin > Settings Page is available to manage the email Notifications that are used with the Timekeeping Module functions.  Administrators can add new Notifications, edit existing Notifications and delete Notifications.  


Availability

Only users with the Portal Administrator, Timekeeping Administrator or Manage Timekeeping Settings permission will have access to this function.

Notification Maintenance Functions

The following functions are available when performing Notification Maintenance



Properties of a Notification

A Notification has the following properties:


  • Notification Type
  • Name
  • Description
  • Start Date
  • End Date
  • Recurrence Options


Notification Type Criteria 


Overdue Time Entry

  • User must have timekeeping timesheet user permissions. 
  • User profile must be active.
  • User must have timesheet in status of created, not created, or rejected.
  • A timesheet must contain hours equal to 0 hours. 
  • Scheduled execution must be defined as iSite working Period. 
  • Scheduled execution must be configured as "Holiday requires entry=Yes" if execution is scheduled for a defined holiday within iSite. 
  • User must have at least one active job assigned to them.
  • A timesheet period must be defined. 
  • User must have reminders enabled on user profile. 
  • Notification must be configured to run on desired date.
  • Notifications will be sent to users that meet all above criteria for prior day. 


Signed Timesheet Reminder


  • User must have timekeeping timesheet user permissions.
  • Only Runs against current timesheet period.
  • User profile must be active.
  • User must have at least one active job assigned to them.
  • User must have timesheet in status of created, or rejected.
  • A timesheet period must be defined. 
  • User must have reminders enabled on user profile. 
  • User must have null (no signature) on run date/time
  • Notification must be configured to run on desired date/time.


Overdue Signed Timesheets


  • User must have timekeeping timesheet user permissions.
  • Only Runs against all prior timesheet periods regardless of when the desired period the current execution date/time.
  • User profile must be active.
  • User must have at least one active job assigned to them.
  • User must have timesheet in status of created, or rejected.
  • A timesheet period must be defined. 
  • User must have reminders enabled on user profile. 
  • User must have null (no signature) on run date/time
  • Notification must be configured to run on desired date/time.


The Notifications List

The Notifications list displays the Notifications that are configured and assigned to the iSite License.  The list will display the following information:


  • Notification Type (by Tab)
  • Name
  • Description
  • Start Date
  • End Date
  • Last Run Date/Time
  • Next Run Date/Time
  • Recurring Notification Flag
  • Last Updated


How to Use the Notifications List

  1. On the Notifications List Page, select the Notification Types that you want to view by clicking one of the Tabs
  2. In the Notifications List, click on the Notification Name in the list whose information you would like to edit.



How to Add a Notification

  1. Click the Add New Notification button in the toolbar.
  2. Fill in the appropriate information in the Properties tab.
  3. Fill in the appropriate information on the Content tab.
  4. Fill in the appropriate information on the Schedule tab.
  5. Click the Create Notification button to create the new record or click the Cancel button to abort the creation process.


How to Edit an Existing Notification

  1. On the Notifications List Page, select the Notification Types that you want to view by clicking one of the Tabs.
  2. In the Notifications List, select the record to be edited by clicking the Notification Name.
  3. Fill in the appropriate information in the Properties tab.
  4. Fill in the appropriate information on the Content tab.
  5. Fill in the appropriate information on the Schedule tab.
  6. Click the Update Notification button to update the record or click the Cancel button to abort the editing process.


Deleting Notifications

Deleting a Notification is a permanent change and cannot be reversed.  Proceed with caution.


How to Delete a Notification

  1. On the Notifications List Page, select the Notification Types that you want to view by clicking one of the Tabs.
  2. In the Notifications List, select the record to be deleted by clicking the Notification Name.
  3. In the Notification Maintenance page, click the Delete this Notification... button in the toolbar.
  4. In the confirmation message pop-up, click the OK button to permanently delete the selected record or click the Cancel button to abort the deletion process.


The selected Notification will be permanently deleted from iSite.


How to Delete Multiple Notifications

  1. On the Notifications List Page, select the Notification Types that you want to view by clicking one of the Tabs.
  2. In the Notifications List, click the check box next to each record that you want to delete.
  3. Click the Delete Holidays... button in the toolbar.
  4. In the confirmation message pop-up, click the OK button to permanently delete the selected records or click the Cancel button to abort the deletion process.


The selected Notifications will be permanently deleted from iSite.


How to Run a Notification Immediately

  1. On the Notifications List Page, select the Notification Types that you want to view by clicking one of the Tabs.
  2. In the Notifications List, select the Notification that you want to execute by clicking the Notification Name.
  3. Click the Run Now... button on the Toolbar.
  4. In the confirmation message pop-up, click the OK button to schedule the Notification for immediate execution or click the Cancel button to abort the immediate execution process.
